A phone number is not blanket permission
A customer may enter a number to ask about a product or place an order. That does not automatically authorize weekly promotional messages. Before sending outbound WhatsApp messages, a team needs to know what the person agreed to, when and where they agreed, and how to stop future contact.
The WhatsApp Business Messaging Policy, updated September 23, 2026, requires an appropriate opt-in for subsequent messages and says businesses must honor requests to stop communication, including requests made outside WhatsApp. Businesses operating in Egypt must also consider applicable local law. This operational guide is not legal advice.
The failure is often in the records, not the copy
Imagine a retailer receives an order inquiry and adds the customer's phone number to a seasonal promotions list. A month later, the customer asks support to stop marketing messages. Support notes the request in the conversation, but the marketing team still uses a separate spreadsheet. The next campaign reaches the same person.
The failure is a consent status disconnected from the messaging workflow. Polite wording cannot fix a missing suppression process.
Four things worth recording
Where consent came from. Save the form, page or interaction and the actual wording shown at the time.
What the person agreed to. Order updates and marketing offers are different expectations. Avoid assuming one category authorizes every other category.
When and for which business. Record the timestamp, relevant contact identifier and the named business, without collecting unnecessary personal data.
Whether the person opted out. Record the request, its scope and timing, then update every list used for outbound sends before the next campaign.
You do not need a huge database to begin. You need a shared decision that sales, marketing and support can see and respect.
A practical B2B example
A services company collects quote requests on its website. The form clearly distinguishes updates about the request from an optional checkbox for future offers. A buyer accepts request updates but declines marketing. The sales team can handle the active inquiry under applicable rules; it should not silently enroll the buyer in a promotional broadcast.
If the buyer later writes, “Stop messaging me,” treat it as an urgent operational instruction. Clarify an ambiguous scope without sending more promotional messages while the request is unresolved.
Test before sending a campaign
Review a small sample of records without exposing customer data. Can you show evidence of permission? Does the proposed message match its scope? Have opt-out requests been copied between systems? Does the planned template and channel follow current platform rules?
Delivery rate alone is not enough. Review complaints and opt-out reasons, then improve how permission is requested when recipients are surprised by messages.
Where Mr. AI fits
The current Mr. AI FAQ describes company-knowledge replies, follow-up support and human handoff. We do not claim Mr. AI provides a turnkey legal-consent registry or automatic suppression across external marketing lists. Keep consent and suppression controls in an appropriate operational system and test any integration.
