A buyer asks your team on WhatsApp for a quotation for fifty units but does not say where they need delivery. If sales sends a final all-in price without that information, it may be committing the business to an unverified freight assumption. Quote what you can verify, label shipping as pending, and tell the buyer what is needed to make the offer final.

A product price is not always a complete quotation

In B2B selling, the unit price may be fixed while freight depends on the destination, the number of delivery points, the weight of the shipment and whether the customer collects it. Some suppliers have flat rates for defined areas; others need a carrier quote. A missing delivery address is therefore not merely an empty CRM field. It can change the economics of the offer.

Consider a fictional distributor receiving a request for equipment for three retail branches. The account manager knows the equipment price but does not know whether delivery goes to one central warehouse or to three separate locations. Quoting a single drop-off and later discovering three destinations can force a revision during procurement approval. This is an operational illustration, not a Mr. AI customer result.

Ask only for the delivery information you need

Do not demand a complete personal address before the buyer even knows whether the product fits. Start with the governorate or city, the number of delivery points and the preferred delivery or collection method. Request the precise location only when it is genuinely needed for a carrier quote or fulfilment.

If your business does not serve a destination, say so early. If pickup is possible, present it as a separate option only when it is supported by your actual operating policy. Avoid collecting unrelated personal information.

Microsoft Dynamics 365 Commerce documentation on delivery options explains that a shipping address affects available delivery methods and that options need to be retrieved again when the address changes. This is a general systems example, not a rule for every Egyptian supplier and not evidence that Mr. AI has a freight integration.

Structure a quote without hiding the uncertainty

Present the confirmed product lines and quantities first. Then show shipping as either a verified charge or a clearly pending item. Finally, state any genuine validity period and approval conditions that your business actually applies.

Do not label a product subtotal as the final payable amount when an unavoidable freight charge is still unknown. Call it the product subtotal before delivery and explain what will trigger the final quotation. If freight is included only for some locations, specify the coverage rather than relying on vague small print.

A WhatsApp reply that moves the deal forward

A dead-end response such as "Send your address first" makes the buyer work before receiving any value. A more useful reply is: "We can confirm the product pricing now. Delivery depends on the city and number of drop-off locations. Which city are you shipping to, and is it one location or several? We'll confirm the total before you approve the order."

That gives the buyer a useful next step without implying that the order is accepted, paid for or ready for dispatch.

Who owns the missing information?

Assign an owner and a next action to the inquiry. If the buyer has not replied, mark the quotation as awaiting delivery details rather than final. If the destination is outside your service area, route it to a human who can decide on an alternative. If the address changes after approval, use a documented revision process rather than silently editing a message.

For the broader intake process, see managing B2B quote requests on WhatsApp. If an approved order changes, see purchase order changes after quote approval. This article deals with an earlier and distinct problem: the delivery cost is still unresolved before the quotation is final.

Measure the operational leak

Review twenty recent quotes that required shipping. How many were presented as final before the destination was known? How often did your team have to reprice after the address arrived? How many requests were left waiting without a named owner or next contact date? A high number of sent quotes is not necessarily useful if buyers cannot approve them with confidence.

According to the current Mr. AI FAQ, the platform helps teams respond using company knowledge, summarize conversations and follow up on next steps while human decisions remain with the team. This does not establish that Mr. AI calculates live shipping rates or connects to a carrier. Start by organizing your delivery rules and missing-information workflow, then try Mr. AI to assess whether it helps your team handle these conversations.
