The buyer approved the quote, an invoice was issued, and then a WhatsApp message arrived: "Can we pay by bank transfer instead of the payment link?" A quick yes may create an accounting problem. Treat a change in collection method separately from a change in invoice amount or payment status.
The inbox agent should not approve every change
In B2B sales, payment methods may be tied to credit terms, purchasing approval, processing fees or verified beneficiary details. The person answering the message can capture the request without having authority to change collection instructions.
Establish three facts first: Has the invoice already been issued? Has any payment started or been recorded? Is the requested alternative allowed for this customer and transaction? If any answer is unknown, mark the case as a pending payment-method review, not an approved change.
Check the record before sending new instructions
Consider a hypothetical equipment supplier. An invoice has been issued and the buyer asks to switch from an online payment link to a bank transfer. Sales identifies the invoice and order. Finance checks whether a partial payment exists or an earlier payment attempt is pending, then approves the correct bank details. An inbox agent should not copy an account number from an old conversation or substitute a beneficiary without authorization.
Microsoft's documentation on customer payment methods explains how payment methods relate to invoice and payment records and how posting may depend on payment status. It illustrates a general control principle in a global finance system, not an Egyptian legal requirement or an integration claim about Mr. AI.
Four cases require different handling
Unpaid open invoice: Record the requested method and route it to finance. Send official payment instructions only after approval.
Payment already initiated: Verify the existing transaction before asking the buyer to pay again. Otherwise, a duplicate collection is possible.
Partially paid invoice: Obtain the remaining balance from the financial ledger, not from a chat estimate. Microsoft's partial-payment guidance describes invoices that remain open with a balance after partial settlement.
Request to change the amount or billed entity: That is not merely a payment-method switch. It requires separate document and finance review under the business's procedures and applicable local requirements.
A WhatsApp reply that does not overpromise
"We can review a change in payment method. Please share the invoice reference and your preferred option. Our finance team will confirm the approved instructions. Please avoid making another payment until you receive that confirmation."
If the buyer sends a transfer screenshot, see our guide to payment-proof verification. A screenshot alone does not establish that the invoice has been settled.
What belongs in the conversation record?
Keep the invoice reference, previous and requested method, payment status when the request arrived, decision owner, approval time and the final customer-facing instruction. Do not store full card details, passwords or one-time passcodes in conversation notes. The objective is a clear audit trail, not an archive of sensitive financial credentials.
Track change requests, time to approval, duplicate-payment incidents and invoices delayed by contradictory instructions. These measures help distinguish slow messaging from slow financial decisions.
Where Mr. AI fits, and where it does not
Mr. AI can help teams answer from approved business information, capture request context and organize next steps with human control. This is not a claim that it edits invoices, approves transfers or verifies bank settlement automatically. Finance systems and authorized staff retain those decisions.
