A buyer sends your sales team a message: “Please hold eight units until procurement issues the purchase order.” Replying “Reserved” may create a commitment that inventory and finance have never approved. A stock-hold request becomes a confirmed reservation only when the company permits it, the quantity is checked and an authorized person records the terms and expiry.
Three different states, three different promises
“Available according to the latest stock update” is a snapshot, not a guarantee. “Hold requested” means the buyer wants stock allocated but approval is pending. “Reservation confirmed” means a defined quantity has been assigned under documented conditions.
The distinction matters for scarce goods. If two agents promise the same stock to different buyers, the problem will surface at fulfilment rather than at the moment of the chat.
Understand what the buyer is waiting for
A business buyer might need finance approval, a purchase order, a deposit or a signed agreement. Before escalating, record the product code and variant, quantity, required delivery date, location, purchase-order status and whether an approved hold policy exists.
Consider a fictional equipment distributor with twenty units available. A buyer asks to reserve eight for one week. The sales agent does not block stock on the strength of a chat message. They check the allocation rules, request the appropriate decision and only then confirm the outcome. This is a hypothetical operating example, not a Mr. AI case study.
The inventory record is more important than the promise
Microsoft's inventory reservation guidance describes how reserving inventory can prevent those quantities from being withdrawn for other orders until the reservation is cancelled. This is a global software reference, not a claim that every Egyptian business uses the same system.
Even a team working in a spreadsheet needs to record who approved the hold, which item and variant, the exact quantity, the buyer, the deadline and what happens when the hold expires. An open-ended promise can leave valuable stock unavailable for other orders.
What to say at each stage
Before approval: “We will check whether this quantity can be allocated and confirm any hold conditions and expiry if approved.”
After a genuine reservation: “The specified quantity has been reserved until the stated deadline under the agreed conditions.”
If holds are not permitted: “We can check availability when your purchase order is ready, but we cannot guarantee stock allocation in advance.”
These responses are examples, not mandatory scripts. Never treat “available” as a synonym for “reserved,” or invent an exception to a deposit rule.
Escalation and exceptions
Route the case for human review when the proposed hold represents a large share of stock, competes with existing orders, needs an unusually long duration or raises questions about deposits or cancellation. Inventory management, sales leadership or finance may own the decision according to company policy.
If the item is already unavailable, see out-of-stock follow-up. If the buyer's requested quantity is below your minimum, see wholesale MOQ lead handling.
What to measure every week
Track requests for stock holds, approved holds, holds that expire without purchase orders, conflicting allocations and average hold duration. These indicators reveal whether the bottleneck is approval policy or simply communication. Do not count an unanswered hold request as a confirmed order.
Mr. AI's role and limits
According to the Mr. AI FAQ, the platform supports replies based on company knowledge, summaries, follow-up and human handoff. Real-time inventory synchronization and automatic stock reservations are not verified capabilities here without separately established integrations and configuration. Define the reservation policy, test exception cases and then try Mr. AI using approved business information.
