# When to use automatic follow-up versus manual follow-up
## When should follow-up be automatic and when should a human handle it?

Use automatic follow-up when there is a clear unfinished customer step that can be reminded safely. Use a human reply when the case needs judgment, an exception, or negotiation. If the next step is internal work for the team, track it as a Client Action instead of messaging the customer before that work is done.

- Automatic Follow-up reopens a conversation with useful context.
- Customer Operations organizes human work needing attention now.
- Client Actions tracks an operational step until completion.

## Three different jobs

- Remind the customer: use Follow-up when a customer-side step is open.
- Intervene with the customer: use Customer Operations when a person needs to review or reply.
- Complete internal work: use a Client Action when the team owes a task or outcome.

## Ask before following up

1. Is there a meaningful open step?
2. Does the next message require human judgment?
3. Is there internal work that must happen first?
4. Has the customer situation changed or have they asked to stop?
5. Choose the least disruptive workflow that keeps ownership clear.
